AASHE Assistant to the Executive Director
TITLE: Administrative Assistant to the Executive Director (part–time, 20 hours per week)
REPORTS TO: Executive Director
LOCATION: Denver, CO
SUMMARY: The Administrative Assistant will provide administrative and staff support to the general organizational operations. Working under the direct supervision of the executive director this position provides all necessary organizational support and is responsible for a variety of other tasks. The priority focus for this position is to support the executive director and assist in events planning.
DUTIES AND RESPONSIBILITIES:
- Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff. Make sure the office is kept in orderly and clean fashion
- Assist with review of administrative procedures and development of systems to assure compliance by all staff
- Booking travel and hotel arrangements as needed.
- Coordinating executive director’s schedule .
- Maintain master calendar of in-house meetings and reserve needed facilities.
- Staff liaison for ongoing tenant/landlord matters
- Maintain inventory for office supplies and computer software
- Assist with research and cost comparisons for vendors to maintain cost effectiveness and quality, including technology and computer support.
- General office duties such as typing, bookkeeping, flow of correspondence, filing, requisition of supplies, faxing, etc.
- Coordinate materials for meetings and training sessions and other activities of the organization
- Maintain and update database as needed
- Receive and distribute all incoming mailing and coordinates outgoing mail, including courier services, postage meter account, and interoffice mail distribution
- Assist in preparation and posting of materials for the board of directors
- Provide support of mailings or coordinating bulk mailing processes
- Provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics)
- Assist in the updating of the website
- Assist with the completion of filings for the organization
- Processing check and credit card requests and file receipts accordingly
- Provide assistance as needed with research for products and services and product development
- Perform other duties and responsibilities as requested with a sense of humor and team spirit
QUALIFICATIONS:
- Minimum two years office administrative support experience.
- Associates degree or higher level of education or equivalent additional experience.
- Excellent communication skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
- Experience using Microsoft Office, Firefox browser, electronic calendars
- General knowledge of human resource functions and payroll
- Excellent organizational skills
- Ability to learn quickly and take initiative
- Ability to work independently and take direction as well as work on teams

- An understanding of sustainability and its application to office practices is preferred
SALARY AND BENEFITS:
Salary range $13.00 – 18.00 per hour depending upon experience.
