This post is related to the American College & University Presidents' Climate Commitment (ACUPCC).

Seattle U is considering a corporate air travel service for employees to book air travel as a means of tracking air mileage for our greenhouse gas emissions inventory. I'm looking for recommendations of service providers that do a great job of tracking this data and providing it to their clients. In addition our accounting office wants a service provider that does a great job of tracking all the data they need.

Hi Karen, have you considered putting out a Request for Proposals (RFP) for this service?

For the sake of any campus sustainability advocates reading this, I'll share a little bit more about how RFPs can be useful for finding answers to complex product/service searches:

When I was the Sustainability Coordinator at Duke University, I found RFPs to be an extremely powerful tool for identifying the best service/product providers for my institution - particularly for more complex needs. An RFP allows one to enumerate the institution's complex needs. It also specifies exactly what questions one needs service providers to answer in order to evaluate their offerings. Being able to get information simultaneously from a number of businesses in a structured way like that allows one to quickly cut through all the marketing materials and eager-representative promises. It also makes it much easier to make comparisons between services. And finally, it is incredible at driving down the prices one gets quoted. Don't be surprised if price quotes that come in via an RFP are 10% to 30% lower than quotes received when contacting a service's representative outside of a competitive RFP process.

Don't worry if you have never done an RFP and wouldn't know where to begin! If you are looking for a product or service for your institution and think an RFP might be the way to go, contact your procurement services department. They are often happy to help.
