We are in the process of updating our boiler plates for bid specifications, contracts and other other procurement documents and considering adding language that supports and gives preference to environmentally and socially responsible vendors. Does anyone have examples to share?
You can ask general business operations type questions such as:
-
Do you have a published Green policy? If yes, please attach it as a separate document in your response to this RFP.
-
What transportation efficiencies do you employ?
-
What environmentally preferable requirements do you impose on your supply chain?
-
List any certifications that support your efforts to maintain sustainable business practices.
Here are examples of packaging specific questions:
-
If not 100% PCW, what percent of recycled content does your packaging material contain? Include all aspects of packaging and distribution when formulating your response.
-
Does your company offer to ship products in reusable shipping containers (such as durable racks) that can be returned to the vendor or manufacturer for reuse?
-
Do all of your company’s products come in packaging that is readily recyclable such as corrugated cardboard or molded paper rather than difficult-to-recycle packaging such as polystyrene or other types of molded plastics?
-
Do you have an end of life product take back program? If yes, please describe the take back process. Include specifics about disposition. Advise any costs associated with utilizing this program.
You can also add to any a question to any of the above that asks if a Supplier plans to implement any of these things and by when. These commitments then can transfer to your negotiated agreement with that Supplier.
While the commodity you are bidding will drive sustainability questions specific to it as well. Here are some other general product questions that may be relevant to some products:
- Is the product readily recyclable?
- Is the product made from recycled material?
- Is the product bio-degradable?
- Does the product contain chlorofluorocarbons, hydrochlorofluorocarbons or other ozone depleting substances?
- Is the product more energy efficient or water efficient than alternatives? (Provide proof)
- Does the product promote good indoor air quality?
- Can the product be easily repaired?
- Do you provide instruction for the most efficient use of the product?

We're starting that process right now too, I would be very interested in hearing what anyone else might have come up with as well.
